What is GSTR-2B? Meaning, Features & How to Download It

Say you run a small distribution business. At the end of the month, you sit down to file GSTR-3B with a stack of purchase bills in front of you. You’ve paid every supplier and every invoice is in your books. Then you open the portal and find ₹40,000 of the credit you were planning to claim just isn’t there.
Nothing is wrong with your books. One supplier filed late, and that’s enough. GSTR-2B helps you realise this before filing and not after by receiving a notice. This article will help you understand what GSTR-2B is, its features, and how to download it from the portal.
What is GSTR-2B?
GSTR-2B is the auto-generated statement of Input Tax Credit issued to every taxpayer in the country every month from the GST Portal. It is created from the details filed by all of your suppliers in their GSTR-1 (and IFF for quarterly filers), along with the GSTR-5 and GSTR-6 filed by them, and the import data generated in the ICEGATE.
It’s a statement, not a return. You don’t file it, you can’t edit it, and there’s no due date attached to it. The portal prepares it, and you read it.
The key detail is that it’s frozen. Once generated for a month, the numbers don’t change. If a supplier uploads an invoice afterwards, it shows up in the next month’s GSTR-2B instead.
| Type | Auto-drafted ITC statement (not a return) |
| Frequency | Monthly |
| Generated | Around the 14th of the following month |
| Editable? | No |
| Formats | PDF, Excel, JSON |
| Who sees it | Regular taxpayers, plus SEZ and casual taxpayers |
Why GSTR-2B matters
The legal explanation is that it clearly states that, as per Section 16(2) of the CGST Act, you are authorized to claim ITC corresponding to invoices only in your GSTR-2B.
The practical explanation is that it allows you to have only one constant document to refer to, as opposed to earlier approaches under which reconciliation done over GSTR-2A was monitored dynamically, causing two individuals reconciling at different times to end up at different amounts. GSTR-2B ends that. Your accountant, your auditor, and you are all looking at the same page.
It also tells you which credit you can’t take. Ineligible ITC is flagged, so you avoid claiming something that comes back to bite you later. The statutory basis for all this sits in Section 38.
Key features of GSTR-2B
Here are the key features of GSTR-2B
- Static statement: Stays fixed once generated for the month
- Auto-populated: Built from supplier filings, with no manual entry
- ITC split: Shows eligible and ineligible credit, with reasons
- Import and SEZ Factored: Import of goods information from ICEGATE is also included
- Built-in advice is included: Guidance on key cut-off dates and reading the statement has been included in the document
- Multiple types of output available: Can be downloaded in PDF format (summary), in Excel (working), and in JSON (software).
When is GSTR-2B generated? Is there a due date?
There’s no due date, because there’s nothing for you to file. What matters is the generation date, which is around the 14th of the next month. So GSTR-2B for October is available from about 14 November.
One thing that trips people up is the cut-off. In a particular month’s GSTR-2B, invoices appear only when the supplier reports them on time. If GSTR-1 is filed after this deadline by the supplier, the invoice will only appear on the upcoming month’s statement. So, the credit claim date may vary even if the invoice number and date remain the same. It is better to look into the portal before making any filing schedules, as the rules continue to change.
GSTR-2B vs GSTR-2A vs GSTR-3B
People mix these three up constantly, so here’s the short comparison.
| GSTR-2A | GSTR-2B | GSTR-3B | |
| What it is | Dynamic record of supplier data | Static ITC statement | Your monthly summary return |
| Changes over time? | Yes, as suppliers file | No | You file it once |
| Do you file it? | No | No | Yes |
| Best used for | Tracking whether suppliers have filed | Deciding what ITC to claim | Paying tax and claiming ITC |
A simple way to remember it: GSTR-2A tells you what’s happening with your suppliers, GSTR-2B tells you what you can claim, and GSTR-3B is where you actually claim it. For more on how the older purchase-side return worked, see how GSTR-2 works under GST.
How to download GSTR-2B from the GST portal
It takes about a minute once you know where to look.
- Log in to the GST portal with your username and password.
- Go to Services > Returns > Returns Dashboard.
- Select the financial year and the return period (the month).
- Find the GSTR-2B tile and click View or Download.
- Choose Download GSTR-2B Summary (PDF) for a quick overview, or Download GSTR-2B details (Excel) for invoice-level data.
- If you want to feed it into software, generate the JSON file instead.
If the tile shows nothing, you’re probably checking before the generation date, so wait a day or two and try again.
What’s inside GSTR-2B?
The statement is divided into tables, and it helps to know what each one is for.
- B2B: invoices from registered suppliers, including reverse charge supplies.
- B2BA: amendments to those invoices.
- B2B-CDNR: credit and debit notes.
- ISD: credit passed on by an Input Service Distributor.
- Import of goods: credit on imports, pulled from ICEGATE.
- SEZ imports: supplies from SEZ units and developers.
There’s also a summary at the top, split into ITC available and ITC not available. Start there, and only go into the invoice-level detail when a number looks off. A good GST billing software also takes care of the sales side, so your own GSTR-1 goes out right, and your customers get their credit without a fuss.
How to use GSTR-2B for reconciliation
This is where the real value is. Here’s a routine that works.
- Download the Excel or JSON file after the 14th.
- Match it against your purchase register, invoice by invoice.
- Sort the differences into three buckets: in your books but not in GSTR-2B, in GSTR-2B but not in your books, and in both but with different amounts.
- Chase suppliers for the first bucket. Ask them to file or correct their GSTR-1.
- Enter anything missing from your books for the second bucket.
- Claim ITC in GSTR-3B only for what GSTR-2B supports. If something is missing, hold it back and claim it once it appears.
The routine is the easy part. What makes it slow is messy purchase data: invoice numbers typed two different ways, dates entered late, GSTINs with a wrong digit. If your purchase entries are clean from day one, the matching takes minutes rather than hours. That’s one reason it’s worth using accounting software where purchases are recorded properly the moment they come in.
Common reasons an invoice is missing from GSTR-2B
Common reasons an invoice is missing from GSTR-2B.
- GSTR-1 not filed: The supplier hasn’t filed it, which is the most common cause
- Wrong GSTIN: A typo on the supplier’s side sent the invoice to someone else
- Timing issue: The supplier filed after the cut-off, so it appears next month
- Data mismatch: The invoice number or date differs from your books
- Ineligible credit: Marked ineligible for a legal reason, such as blocked credit
If you generate B2B invoices, e-invoicing matters here too, since that’s what flows into your customers’ GSTR-2B.
Conclusion
GSTR-2B will not be able to make your vendors file on time, but it shows you exactly where you stand before making a claim. You need to download the GSTR-2B statement every month after the 14th and reconcile it with your purchase records before making a claim. If this process is followed regularly, the ITC surprises will go down.
This, however, is only one part of the story. The speed of reconciliation depends on how clean your organization’s records are. When purchase bills are entered correctly the day they arrive, with the right GSTIN, invoice number, and date, matching takes minutes instead of an afternoon. That’s where a tool like MargBooks quietly helps. It keeps your billing, purchases, and GST data together in one cloud-based place, so you spend less time hunting for mismatches and more time running the business.
FAQs
Q1. Is GSTR-2B mandatory?
You don’t file it, but you can’t ignore it. Since ITC can only be claimed on invoices shown in it, you’ll need it every month before filing GSTR-3B.
Q2. Can I edit or amend GSTR-2B?
No. It’s read-only and fixed once generated. Any correction has to come from the supplier’s side, and it will show up in a later month.
Q3. Is GSTR-2B the same as GSTR-2A?
No. GSTR-2A keeps changing as suppliers file, while GSTR-2B is frozen for the month. Use 2B to claim credit and 2A to monitor supplier behaviour.
Q4. When is GSTR-2B generated?
Around the 14th of the following month. Check the portal for the latest timelines.
Q5. Can I claim ITC that isn’t in my GSTR-2B?
Generally, no. The law ties your claim to what appears in the statement, so hold such credit back until it shows up.
Q6. What if I haven’t filed my GSTR-3B?
Your GSTR-2B can still be generated, but staying behind on filings creates its own problems with credit and compliance, so try to keep returns current.
